ABOUT THE SIR ARTHUR LEWIS COMMUNITY COLLEGE

 

Sir Arthur Lewis Community College, the premier tertiary learning institution in Saint Lucia and the Eastern

Caribbean, was established in 1985 and named after the world-famous economist and Nobel Laureate, Sir William Arthur Lewis.  The College offers a wide range of cutting-edge and globally relevant academic and technical programmes from Bachelor’s and Associate degrees to TVET and Executive and Leadership training. Our programmes are supported by three main pillars: Sustainability, Innovation and Entrepreneurship. 

 

 

 

 

 

The College has two campuses (Main Campus at Morne Fortune, Castries and South Campus located in Vieux Fort) and an Experimental Farm located in Dennery. The College is governed by a Board of Governors and a Management Team led by the Principal and Vice Principals. The Management Team includes Deans and Heads of Departments that manage the day-to-day operations of the institution, its 114 faculty members and 176 supporting staff members. 

Applications are invited from suitably qualified persons to fill the post of ADMINISTRATIVE ASSISTANT at the Sir Arthur Lewis Community College.

 

JOB SUMMARY

 

The Administrative Assistant is the primary administrative support for a respective unit. The Administrative Assistant is responsible for managing all administrative support functions including but not limited to office organization and procedures, updating of records and files within their assigned area.  The Officer is responsible for scheduling meetings, event planning and facilitating and supporting staff activities as well as supporting the needs of students on campus and instructional sites.

This mid-level administrative position is responsible for the overall day to day management, organization and co-ordination of the administrative activities and procedures of their assigned unit.  The Administrative Assistant is responsible for supporting the Manager/Unit Head to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities.

 

QUALIFICATIONS AND EXPERIENCE

 

A Bachelor’s Degree in Management or related field plus a minimum of five (5) years’ experience in an administrative position, ideally in higher education.

CORE FUNCTIONS AND RESPONSIBILITIES

The successful applicant will be required to:

 

  • Provide administrative support to an academic teaching department; by providing reception services, scheduling appointment, meetings, researching files and records;

 

  • Prepare and proofread correspondence, reports, examinations and other documents

as requested;   

 

  • Assist faculty by answering questions and providing information, location of desired information and materials;

 

  • Assist students by providing initial guidance on questions related to classes, registration, permissions, and other academic processes. Identify the appropriate source of further support by referring to established guidelines (Programme Information Summary Sheet, college documents, and institutional policies and procedures) and assign students to the proper advisors accordingly.

 

  • Maintain an inventory of office supplies;

 

  • Help organize and execute departmental events by securing space, equipment, and catering; preparing invitations, announcements, agendas, and brochures; purchasing awards; coordinating travel arrangements and reservations; and providing on-site assistance during the event.

 

  • Ensure that up-to-date information is provided for publishing on the College’s

website;

 

  • Organize the faculty evaluation process;

 

  • Verify and process student and part-time employee time records, scheduling the use of classrooms, department facilities or meeting rooms, maintaining the security of classrooms, laboratories and equipment. 

 

  • Maintain up-to-date skills and knowledge by participating in professional development courses, software training, and other required training as directed by the unit head or the College.

 

  • Assist with the arrangements of Student Interviews and keeping student records up to

date;

 

  • Organize induction programmes for new employees and students.

 

  • Delegate tasks to junior staff members;

 

  • Deal with correspondence, complaints and queries;

 

  • Attend meetings with unit head when needed;

 

  • Prepare presentations and reports;

 

  • Carry out other responsibilities as may be assigned by Supervisor.

 

CONDITIONS

  • Office accommodation will not be provided by the College;
  • Salary will be paid in accordance with the salary scale and the terms and conditions as approved by the SALCC Board of

Governors (BOG);

  • Salary is liable to taxation in accordance with the Income Tax Ordinance and

National Insurance deductions will be as per the National Insurance Corporation (NIC) Act.

TERMS OF APPOINTMENT

 

The salary will be determined by the qualifications of the applicant and in accordance with the salary scales approved by the College.

 

Quarters, transportation to and from work, free medical attention and medicines will not be provided.
